JOB TITLE: Sales Administrator

JOB DESCRIPTION:

A: Purpose and Scope

The sales administrator is responsible for providing administrative support to the sales team.

B. Responsibilities

  • Provide administrative support to the sales team to ensure smooth daily operations.
  • Manage and enter sales orders in a timely manner while ensuring the accuracy of terms, conditions, model numbers and pricing.
  • Handle incoming calls and emails, directing them to the appropriate sales team member.
  • Communicate with customers to handle inquiries, track order status, and resolve issues.
  • Maintain and update customer records in a CRM system.
  • Prepare and generate sales reports, forecasts, and presentations as needed.
  • Coordinate with the finance department to ensure accurate invoicing and payment tracking.
  • Communicate with other departments to ensure timely delivery of products.
  • Assist in organizing and scheduling sales meetings, conferences, and events.
  • Process returns, exchanges, and report customer issues in a timely and efficient manner.
  • Assist sales team with customer quotes, contracts and proposal preparation.
  • Maintain and organize sales files and documentation.
  • Assist with training new sales team members as needed.
  • Assist other departments as required.

C. Organization Relationships

  • Sales Administrator reports to the VP of Sales 

JOB REQUIREMENTS:

A. Education and Training

Necessary Skills:

  • Past experience as a sales administrator or a similar administrative role.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication skills.
  • Attention to detail and problem-solving abilities.
  • Proficiency in MS Office Suite (Excel, Word).
  • Knowledge of (ACT, Acumatica, HubSpot, QuickBooks and MAS90) is a plus.
  • Ability to work independently and as part of a team.
